Functions:Included but not limited to the following: All other
duties may be assigned.Office Administration (to include Human
Resource support as outlined below and as needed):· Maintain
inventory/ track computers (laptops/ desktops/tablets, hardware/
software), phones, and office keys by coordinating this with the IT
department · Responsible for ordering and maintaining inventory of
office/kitchen supplies and equipment for office and field
trailers;· Coordinate and order office equipment, track equipment
maintenance agreements;· Prepare/Track UPS/ Fed Ex package
preparation; mail out items as needed. Manage user accounts,
creating new users, resetting passwords, etc.;· Distribute office
mail and parcels· Coordination of meetings (on and off-site) as
needed;· Assist HR with scheduling new hire orientation and
training sessions, assist with tracking applicants that were
submitted and need to be set up for interviews· Order lunches as
needed;· Food setup for meetings (monthly/as needed) · Travel
(Daily, Weekly, Monthly): travel for operations staff· Building
maintenance (as needed): send requests to maintenance and follow-up
as needed; · Create a safety sticker templates for new jobs. Have
stickers shipped out to job sites or to office for pickup. Re-fill
stickers as requested by teams · Gather backup for company credit
card bills / personal expenses and submit to accounting for
Principal and Regional Manager· Accounts Receivable – assist with
required backup;· Accounts PayableScheduling Meetings and
maintaining calendars:· Send email reminders for report
information· Maintain calendars for Manager as well as Operations
vacation calendar and distribute weekly· Schedule and distribute
agenda for AZ staff meetings with attachments. Keep meeting notes
and distribute to all attendees. Project Related/Project
Coordination Tasks:· File project documents including but not
limited to subcontract agreements, purchase orders, fully executed
subcontractor change orders, and meeting minutes as needed;· Print
monthly reports at beginning of each month;· Access reports and
assist in collecting forms and enter into system;· Collect Worker
Certification and Eligibility Affidavits and enter into Viewpoint;·
Review and process credit applications and eligibility affidavits;·
Maintain project files and archives, including Spec Library
(warranty/closeout manuals);Additional Responsibilities:· Assist
with review and research of licensing and filing requirements for
various states and municipalities.· Support Philanthropic efforts,
working with Marketing and Business Development as needed· All
