JOB SUMMARY

The AP & Payroll Specialist is responsible for preparing payroll, processing Mind 24-7 bills, and managing accounts payable. This role has a range of duties that include processing the full payroll cycle - collecting timesheets, calculating wages, and ensuring employees receive their pay on time. In addition, the AP & Payroll Specialist is tasked with receiving, opening, and logging invoices, as well as other duties such as bank reconciliation and data entry.

ESSENTIAL JOB FUNCTIONS

  • Identify and distribute invoices for approval utilizing the AP system
  • Communicate with office managers (re: approval, research, and coding questions)
  • Assign G/L accounts to invoices and perform data entry to generate payment
  • Process payments after approval
  • Answer and resolve various vendor questions and problems
  • Issue and maintain W2s and 1099 forms including obtaining Form W-9
  • Scan paperwork as needed for filing, approval, or routing

        POSITION QUALIFICATIONS
        • Minimum Qualifications:
          • 1-3 years of experience with accounts payable and payroll processing
          • Knowledge of G/L coding
          • Bookkeeping experience in an accounting system (data entry, bank reconciliations, etc)
          • Proficiency working with MS Office
            • Preferred Qualifications:
              • Sage Intact and Paychex experience
