General Job Description:

The Receptionist position is responsible for creating a warm and welcoming atmosphere when clients, vendors, and employees enter the office. In addition to maintaining a welcoming atmosphere, this position will perform a variety of administrative and clerical tasks, such as answering incoming calls, scheduling meetings, taking messages, and ordering supplies. The Receptionist will be extremely organized and customer service oriented as they are the first point of contact for our organization.


Essential Functions:

Greet and welcome guests and employees as they arrive at the office, then direct them to the appropriate individual and office

Prepare conference rooms for meetings, have everything set up before clients arrive

Answer, screen, and forward incoming phone calls to the appropriate party

Ensure reception area, client waiting area, and offices remain tidy, presentable, and stocked with all necessary materials

Provide accurate information about the company to incoming callers, screen as appropriate

Receive, sort, and hand-deliver all incoming mail, deliveries, or otherwise

Maintain security within the office by reporting any suspicious activity by guests or employees directly to the HR Representative

Keep inventory of all office supplies and work with the accountant to order supplies before they run out

Update calendars and schedule meetings as directed

Arrange travel and accommodations for our internal sales team traveling out of town as well as clients coming in to town

Answer basic customer support questions through Intercom during periods of downtime

Provide support for general administrative tasks

Other duties as assigned


Supervisory Responsibility:

None.


Work Environment:

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


Physical Demands:

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and move up to 10 pounds and occasionally lift and move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.


Position Type/Expected Hours of Work:

This is a full-time position which will typically involve 40 hours a week.


Travel:

Minimal travel is expected.

. Requirements:

Education and Experience:

1+ Year of customer support, receptionist, assistant, or related experience preferred

Highschool Diploma or Equivalent preferred

Transportation Experience a plus


Knowledge, Skills, and Abilities:

Proficient with Microsoft Office

Proficient with standard office equipment (Phones, Scanners, Printers)

Excellent written and verbal communication skills

Excellent Organizational Skills

Self-Motivated

Strong Multitasking and time-management skills

Customer Service Attitude
